Location: Whiteley & Swanwick (travel between both sites required)
Working Hours: Full-time (with flexibility for occasional out-of-hours work)
Purpose of Role:
To deliver a high-quality workplace experience across two key client sites, ensuring smooth operational delivery, exceptional service standards, and stakeholder satisfaction. The role demands a proactive, flexible approach to facilities coordination and customer engagement, working closely with internal teams, suppliers, and client stakeholders to maintain a professional, efficient, and welcoming environment.
Key Responsibilities
Workplace Operations (Both Sites):
* Conduct daily floor walks, workplace audits, and quality control checks across customer-facing spaces and report all faults found through CAFM system reporting, following through to resolution.
* Oversee workplace storage solutions and manage building furniture inventories.
Stakeholder Engagement & Communication:
* Act as the liaison between on-site stakeholders and the Facilities Management (FM) team.
* Prepare and distribute stakeholder communications as needed.
Project & Event Support:
* Lead and support minor FM works projects, from reviewing quotes to execution and snagging.
* Assist with delivery of larger workplace projects including stakeholder coordination, contractor management, RAMS submission, approvals, and drawing updates.
* Coordinate and support internal site events and VIP visits to ensure a seamless experience.
Health & Safety & Compliance:
* Support periodic service reviews to identify improvements and potential cost savings.
* Coordinate DSE assessments and action workplace adjustments as required.
* Promote and uphold health and safety procedures, fostering a culture of safety awareness across both sites.
Skills, Experience & Qualifications
Essential:
* Proven experience in a facilities, workplace, or customer service coordination role.
* Strong interpersonal and communication skills - confident liaising with all levels of staff and contractors.
* Proactive, self-motivated, and capable of working independently across multiple locations.
* Competent with Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Organised, detail-oriented, and able to manage competing priorities across two sites.
Desirable:
* Health & Safety qualification (e.g. IOSH).
* Experience supporting or managing workplace/facilities projects.
