Compliance Administrator
Ref: 2025-70010_1749548030Equans is looking for a Compliance Administrator to join our team in Southwark, London on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary and benefits package.
The post holder will provide full support to the delivery of administration, Statutory and PPM compliance on the contract including co-ordination of specialist contractors, ensuring that all administration is managed in an effective and auditable manner.
What will you deliver?
- Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules, statutory compliance and other relevant documentation
- Develop, collate and management of Hard FM maintenance and reactive information and operational records in electronic and hard copy. Monitoring and chasing of compliance documentation and RAMS with contractors and in house teams in accordance with contractual arrangements
- To participate and present documentation for external and internal compliance audits
- To collaborate with interested parties (Client and Internal) in order to resolve queries relating to administration and compliance
- Develop and maintain a system that will ensure corrective actions are either closed out and/or clearly identified to Line Manager(s), Business and contract stakeholders
- To assist the management team by preparing, completing, running and updating reports (weekly, monthly, etc.) as well as the development of reporting tools as required (communication and detail) maintaining confidentiality at all times
- To promote, establish, monitor & maintain efficient compliance processes for the Business providing practical support and guidance particularly within Hard FM services to secure compliance within legislative, regulatory contractual and business requirements
- Provide general administrative back up support including but not limited to placing orders, managing Maximo the contract CAFM system, preparing reports and documents as required for management and other general administrative duties, maintaining confidentiality at all times
- Act as a Super user for Maximo and Edifice, overseeing all aspects of compliance and training as required on the contract
- Liaising with staff in other departments and with external contacts, LCF works, finance, Quoted works; and all general contract information pertaining to Audits, spread sheets, contractor time, including all Health & Safety issues
- Required to attend training programs as necessary to meet contract requirements and for self-development purposes

Who are we looking for?
- Proven experience in compliance administration, ideally within Hard FM or a similar sector
- Experience with CAFM systems, particularly Maximo
- Strong attention to detail and organizational skills
- Ability to produce and present clear and accurate reports
- Knowledge of Health & Safety best practices
