To support and coordinate all FM services within the TSOC ensuring that the area is set up and ready for business allowing team members to focus on delivering their key objectives.
To promote and manage customer expectations, develop and maintain excellent relationships with all customers' particularly key clients. Provide the highest levels of customer service in all aspects of the role be someone who strives to continually provide a quality service over and above the customer's expectations.
Set consistent standards, approaches and processes across the building.
To meet objectives set by your line manager and wider management team and to follow Mitie processes and procedures.
Have attention to detail, experience of working in a corporate environment and communicating effectively at all levels of the organisation while also demonstrating excellent customer management.
Have the confidence to deal with problem solving and develop skills in dealing with audio-visual equipment, reprographics, minor repairs, event management & assistance, visitor hosting & induction for visitors.
Ensure a safe working environment and working practices are carried out on site
Direct people to the correct destination as required through site knowledge
Fulfil all reasonable requests from both visitors and employees to ensure their comfort, satisfaction and safety
Be aware of what's happening in the building to help provide appropriate information to guests & visitors
Coordination of all FM services in the TSOC and take real ownership of responsibility Innovate - look at ways to stream line business processes and create the most effective environment for the customer/client
Confident and direct approach when dealing with customers
Be involved in and contribute to team meetings
Assisting with floor orientation and equipment induction of new staff.
Assisting with staff queries both in person, by email or via telephone e.g. alterations to reservation and meetings etc.
Mail delivery to the correct location.
Check and refresh all meeting rooms and offices spaces on an ongoing basis.
Ensure meetings rooms within designated areas are always ready for business, this includes room layout, cleanliness, equipment testing and stock replenishment and all vendor services requested are delivered on time and to specification.
Report any maintenance issues immediately to ensure a speedy resolution, including all furniture, fittings and equipment
Conduct regular checks/floor walks of designated area to ensure brand standards are maintained at all times i.e. cleanliness, maintenance, replenishment
Always adhere to all company policies and procedures and carry out instructions given by the management team
Responsible for health & safety in TSOC to ensure that any unsafe items/areas are dealt with immediately and also ensure all people adopt safe working practices at all times
Proven experience within a strong customer service environment
High quality interpersonal skills, with excellent written and spoken communication skills both to individuals and groups
Self disciplined and able to work on own initiative with the ability to make decisions without referral to line manager
Flexible and adaptable approach to work with good problem solving skills
Ability to deal positively with conflict situations
Attention to detail, a focus on standards, methodical & organised
Educated to GCSE standard with passes in English & Maths
Knowledge of administrative and clerical procedures
Computer literacy, competent with the Microsoft Office suite including Word, Excel, PowerPoint and Outlook and the ability to support printing and audio-visual solutions
Valid formal Health & Safety qualification e.g. IOSH (1 or 5 day) is desirable.
