Job Description

Variable shifts to include Early & Lates, Evening & Weekends. Early shift starts at 7am, late finishes at 10pm.

Opera experience is essential.

The Role:

The role of reception supervisor is to assist the Reception Manager in managing the reception team by being a first point of contact. You will ideally have some management experience but not essential.

You will be responsible for managing the Invoice's for Sales & Events and completing the aged debtors report for relevant parties. Checking the bank statement and making payments on the opera system. Helping to recruit reception team members and take an active role in the on boarding process. You will be responsible for Staff appraisals and making sure that the work level meets current expected standards on reception.

You will also undertake general reception duties alongside the Supervisory duties which include, Emails and phone calls. Check in/outs. Creating reservations on the opera system. Running system audit daily. Taking restaurant bookings. Banking and cash handling.

Main Duties:

  • Undertaking reception shifts Early's, Middles' & Lates's

  • Managing the reception team and checking work meets the expected standard.

  • Staff appraisals.

  • Training & Mentoring new team members.

  • Active role in recruitment for reception and the on boarding process.

  • Support the Reception Manager with daily workload.

  • Managing the RNLI College bank Statement and paying on incoming payments.

  • Managing Invoice for events and issuing Invoice where needed.

  • Maintaining accurate files & records of events invoices and receipts.

  • Running the Aged Debtors Spreadsheet and chasing for outstanding overdue payments.

  • Helping to manage Starters and leavers through the opera system

  • Assisting the Reception Manager in managing Room rates through Opera and availability on third party sites.

  • Liaising with other departments any payment or invoice needs Ie, Bar Tabs.

  • Using the opera configuration to make amendments to rate codes/packages where needed for events.

  • Cash handling on reception and daily banking of takings.

  • Handling phone calls and general customer service on reception.
