Job Description

We are looking for someone with a customer experience ethos, who is comfortable being approached by customers and fielding a wide variety of enquiries. They will be an ambassador for the Vodafone Facilities team and would be clearly identifiable as mobile representatives of the on site team. They would be able to advise on matters from room booking processes and event options, local car park bookings and enquiries, catering options, and any other general enquiries which may arise from using our facilities.,

  • Become the first port of call for Vodafone space users, able to answer any questions on any aspect of their building experience.

  • Pro-actively engage with the bookings for the day and make sure everything is in place for Vodafone colleagues.

  • Have a knowledge of all booking systems, facilities, processes of the building with an emphasis on the VBOS system.

  • Complete daily checklists of building condition as required.

  • Perform audits of the meeting spaces across the building, cross referencing them with what was booked, making observations of any discrepancies and noting recommendations on how meetings might have been better supported in future.

  • Inputting data into the central booking tool and recording any other insights which might prove useful for the management of Vodafone buildings.

  • Build relationships with space bookers to learn more about how their meeting could have been better supported, taking on feedback and fielding questions.

  • To ensure all visitors to the site feel welcome and where necessary introduce guests to amenities.

  • Create the best 'first impression' to all individuals visiting the site. Ensure that visitors waiting for their host are looked after and their personal requirements are met.

  • Build a professional rapport with visitors through positive communication with them.

  • Work well under pressure whilst still offering excellent customer service.

  • Offer and administer Wi-Fi access to visitors, contractors, or employees as required.

  • Staff the Vodafone Help Hub when required, taking customers through any aspect of the building's functions for their comfort and ease and fielding any other ad-hoc requests.

  • Participate in event planning and management as required.

  • Actively seek continuous improvement and solicit support from your team members.

  • Ensure all maintenance and cleaning issues are reported appropriately via the helpdesk.

  • Ensure all health and safety issues are reported promptly via the helpdesk and escalated where necessary.

  • Assist with booking taxis, or providing general information on the area/ transportation times (bus, train, etc)

  • Support Emergency Evacuation procedures.

  • To carry out additional administrative duties as required, this could include but not be limited to data entry, word processing, entering information into spreadsheets, operation of computerised booking systems, processing of access control paperwork.

  • There will be an expectation for the post holder to attend training as required. These courses may be held in different parts of the country and the post holder will be expected to attend as required.

  • Undertake reasonable management requests from the Events and Front of House Manager where appropriate.
