The purpose of this job is to support the Regional Facilities Manager with the day to day management and operational activities in line with all health and safety, environmental and company procedures, related general legislation and client/tenant requirements.

This includes ensuring the adherence to the budgetary costs and customer service standards and management of onsite personnel/contractors.

Key Responsibilities

  • Monitoring systems including Elogbooks, Meridian and Yardi

  • Ensure that Meridian is up to date and all statutory compliance has been achieved or mitigated

  • Yardi Voyager - manage invoices and raise PO's

  • Approve utility costs and invoices

  • Liaise with contractors, security staff, PMs, client and occupiers as appropriate for any building service issues.

  • Engage with the Elogbooks, GWS and OCS helpdesk teams to manage the job workflows

  • Quote approval & PO creation for remedial works

  • Granting permissions, permits to work and reviewing RAMS

  • Travel to site/s where needed

  • Monthly site visits (minimum) and complete monthly property inspection forms

  • Assist colleagues where necessary (FM & PM)

  • Interacting with onsite teams and resolve queries that may arise from members of the public

  • Complete monthly KPIs question sets (where applicable) for Hard and Soft service contractors

  • Complete meter reads (where necessary)

  • Team meeting participation

  • Logging expense and mileage claims

  • Logging insurance claims on appropriate system

  • Requesting CCTV via the Central Support Team

  • Organise and attend tenant meetings

  • Attend any Health and Safety audits on site

  • Working with the RFM and Property Manager to create Service Charge Budgets and supporting;

    o Regular Service Charge expenditure reviews

    o Service Charge reconciliation

    o Service Charge queries from tenants

    o Service Charge queries from tenants' consultants

    o Service Charge queries from BDO including raising copies of all Invoices

    o Service Charge queries from Wellers including raising copies of all Invoices

  • Environmental & Energy Sustainability initiatives

  • Complete annual appraisals with Line Manager and regular 1-2-1s

  • Assist with asbestos surveys where applicable


  • Creating and upkeep of Occupier guides

  • Maintaining information held on Elogbooks under site notes

  • Update Major Incident Management plans for sites

  • Mobilising properties (transition in and out)

  • Hard and Soft services uplifts via the VO process

  • Raising POs for consumables as requested by OCS & GWS

  • Liaise with law enforcement, bailiffs, local councils, etc.

  • Dealing with parking issues and with parking enforcement contractor

  • ISO14001 if appropriate to property

  • Vacant unit checks

  • Arranging access for viewings booked by M&G

  • Unplanned fire evacuation reporting

  • Monitoring of snagging and major defects register

Candidate Description

  • Good standard of education

  • Clean Driving licence and vehicle for travel

  • Previous experience of working within a facilities management environment

  • Excellent customer service, interpersonal and communication skills

  • A good awareness of Health and Safety legislation and knowledge of environmental protection requirements, and ideally IOSH qualified*

  • IT literate together with an understanding and experience industry specific IT applications

  • Ability to work on own initiative and within a pressurised environment with excellent organisational and planning skills.
