Job Description

We are recruiting a Team Assistant (D&T) to be based in London (remote initially). The successful candidate will be responsible for supporting the Senior D&T Director for the Local business and the Director for Data and Internal Technology, as well as support to the D&T Business Office. The post requires a high level of discretion and confidentiality, along with the ability to work unsupervised. This is a fast-paced, challenging, and varied role which will be responsible for coordinating schedules across multiple time zones, prioritizing work and meetings in a dynamic environment Role Summary: + Work in a professional manner maintaining diplomacy and confidentiality in communicating highly sensitive or highly contentious information with people of all levels within the company and elsewhere + Prepare and issue predefined reports and presentations for both internal and external customers to deadlines + Support the organisation of D&T events; such as 'town hall' meetings, team strategy days, workshops, leadership days and social events + Schedule reviews, monthly leadership meetings, meetings, and take/distribute minutes + Providing support to the team and taking on responsibility for the smooth running of the office + Management of Inbox for the Senior D&T Director (Local Business) - monitor and manage emails, escalate, forward and respond to as appropriate + Proactive and complex diary management including workload, deadline planning and reoccurring events; pre-emptive planning + General Administration including printing and binding of documents, filing, expense claims, maintaining organisation charts, holiday, and absence tracking, maintaining distribution lists, room booking management etc + Deal with frequent queries from staff and clients + Book travel and arrange all associated documents and arrangements + Prepare on-boarding for new joiners; ordering computer equipment, phone; email set up + Communicate key messages as appropriate + Assist the Business Office in developing systems and procedures + Support the Senior Executive assistant and cover in her absence,

  • Excellent interpersonal skills and ability to quickly form professional relationships with colleagues and clients at all levels of seniority + Highly organised and takes ownership of responsibilities + Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met + Maintains a positive attitude towards routine tasks + Accurate and exceptional attention to detail + Confident and assertive where required + Flexible approach to work + Understands and appreciates the importance of using discretion + Team player who deals effectively with colleagues and clients + Proactive and positive attitude with a calm and methodical approach to work + Advanced level IT skills (Word, PowerPoint, Excel, Outlook, Visio, Teams) + Excellent communication skills, both verbal and written + Working collaboratively with team + Experience of a similar role in a medium-sized business + Proven track record in an administrative or assistant
