Job Description

In this role, you will provide efficient and pro-active business and administrative support to the Head of Go to Market for Digital Applications and one other Senior Leadership Team Member (TBC).

With us you will:

  • Manage emails and correspondence, responding where appropriate on their behalf and/or forwarding for input to the relevant team member.

  • Organise journey planning (including Visas), booking, and flights/hotel/parking/transfers and support the wider team in booking their own travel.

  • Support in the production of presentation material and other items in support of Head of and wider leadership team.

  • Create comms on behalf of the Head of and distribute across the business and wider organisation.

  • Completing expenses in a timely manner in accordance with company policies.

  • Raise purchase orders through the SAP system as required for the team.

  • Extensive diary and meeting management including organising national & international meetings, preparing for meetings, awareness of cultural differences and time zones & prioritise conflicting demands for time.

  • Build and maintain effective relationships with customer PAs, other Directors, their PA's, and share information in a timely manner.

  • Organisation and administrative support of management meetings. Support includes ownership, production and distribution of agenda and minutes.

  • Organising and planning regular team meetings and 1-2-1s throughout the teams along with ad-hoc requests as required by these teams.

Candidate Description

  • Proven experience at successfully supporting 'Head of' level individual with experience of working in an international, culturally diverse environment.

  • Proven experience of managing two senior leadership team members simultaneously

  • Manage and engage with senior stakeholders (e.g. customers, partners) when they visit/attend and be proactive in maintaining these relationships.

  • Extensive experience in traditional administration duties - diary management, expense and travel management, minute-taking in meetings etc.

  • Ability to manage expenses and approve requests on the Head of's behalf

  • High proficiency in administration, and fluency using MS Office, Workplace (Corporate Facebook), MS Teams to drive communications and manage emails and other document types.

  • Experience creating communications and business presentations to support leadership.

  • Fluent English language with business level skills of another European language (preferably Italian).

  • Must be able to work independently but also as a team player with strong influence and relationship management skills.

  • A positive and proactive attitude towards supporting the Head of with a constant view to areas for improvements and enhancement of the position.

  • Strong organisational skills, effective prioritisation and excellent deadline management.

  • Strong customer relationship management skills with ability to interact at all levels both externally and internally, including all levels of management.

  • Flexibility with work requirements and maybe necessary to work additional hours when required with the possibility of some travel.
