Ownership of area being worked within during set period - key areas covered are Reception, Post and Workspace
The following are dependent on the areas being worked in during the day, but expectation is for the operative to be multiskilled in all the below:
Greet and sign in all visitors into the head office.
To provide excellent front of house concierge customer service and experience.
Issue out temporary day passes within the security guide lines.
Answer all calls in a timely and professional manner.
Assist key stakeholders with their visitors to ensure a VIP experience.
Manage the email inbox and ensure all emails are replied to within the set time lines.
Booking in taxi's and send out confirmations.
Book in visitor parking and send out confirmation
Ensure all necessary forms and tools for the job are kept stocked up and ready for use.
Communicate with customers face-to-face and/or over the telephone to ensure a professional, polite and impeccable customer service experience.
Attend training as necessary, including toolbox talks and complete online courses.
Undertake Safety Observation Reporting and Housekeeping Audits
Ensure the reception area is presentable and report any repairs to the helpdesk.
Manage the car park spread sheet & allocation.
Ensure any contractors on site receive inductions.
Manage stock levels of stationary. Order stationery and dispatch as required.
Update and ensure stationery records are managed accordingly for recharging
Coordinate all mail handling operations within the site, including receiving, sorting and distributing all incoming and internal mail and despatching all outgoing mail.
Ensure collection, receipt and onward delivery of recorded and registered mail and other couriered items as appropriate
Send out emails to inform owners of arrival of parcels/mail for collection from the Post room
Coordinate delivery and collection of parcels, packages, goods and other miscellaneous items to and from multiple site locations, including recording such items for future use, disposal and/or safe storage
Tracking post and parcels and ensure records are kept up to date
Liaise with sub-contractors to book courier services
Collection of confirmation of delivery / receipt of such goods in accordance with written instructions
Arrange the recycling of printer/toner cartridges/batteries for recycling
Manage loan equipment's and ensure they are returned on time.
