To provide a comprehensive and flexible administrative support service to the Business Unit Director and Business Development Manager. Key Responsibilities Business Unit 1) Ensuring business policies and processes are effectively communicated, and implemented within the Business Unit. 2) Ensure the provision of healthy and safe working conditions and that both clients and Company health and safety policy and process is effectively implemented across the Business Unit. 3) Arrange all Contract Review Meetings throughout the year for all Contract Managers, Area General Managers and Business Unit Director. 4) When required, attending meetings to take notes or minutes and ensure that follow up actions are undertaken. 5) Completion of Business Unit Review Pack each month ahead of Business Unit Review. 6) Management of all QHSE online reporting (to include Hazards, SmoWP, Audits) 7) Completion of Audit Schedule each year. 8) Tracking of all holidays and sickness for Senior Management Team on behalf of Business Unit Director. 9) Ensure staffing structures on all contracts are updated when requested. 10)Arranging training courses for business unit support staff and managers. 11)Adhoc event management upon request. 12)Diary and Email Management for Business Unit Director. 13)Adhoc Travel arrangements for Business Unit Director. 14)Working with other Operational managers to ensure the collaborative development of the business, effective team working, and support to colleagues. 15) Assisting contract support staff (holiday/sickness cover). 16) Promoting and maintaining the core Values of CBRE Managed Services. 17) Provision of guidance, advice, coaching and support to all other Business Unit Coordinators within the business, where required to deliver best practice selection, training, assessment and recognition/reward. 18) Delivering effective business communication through advice, review, and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and ad-hoc reporting and other publications, as appropriate. 19) Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential. 20) Developing systems and procedures to improve the overall efficiency of the office. 21) Ensuring there is a sufficient supply of all office stationary and supplies and consumables. 22) Undertake any other duties as required by the Finance Manager and Business Unit Director. Business Development 23) To assist with all sales opportunities for the Business Unit. Supporting the Business Development Team throughout the sales process. 24) To assist in the production of supporting Sales Literature and sales brochures. 25) To assist in the production of all tender documentation including (but not limited to), PQQ, ITT, RFP and RFI. 26) Liaise with third party design consultants to agree the layout template for all tender documents. 27)Arranging all sales calls with Senior Team members on an adhoc basis. 28) Work with our Sub-contractors and Business Development Manager to ensure the best price for all sales opportunities. 29)Support of Mobilisation as and when required. Accountabilities 1 Reporting to a CBRE Managed Services Business Unit Director 2 Accountable day to day to supporting the Business Development Manager 3 Accountability to the CBRE Managed Services functional heads, as appropriate.
Education [Essential] Good basic education to GCSE (or equivalent standard), which will include an English and Maths qualification. [Desirable] Higher educational qualifications to A Level/HNC/D/GNVQ would be beneficial. Training [Essential] Very proficient in the use of Word, Excel, Access, Visio and PowerPoint. [Desirable] Experience of using Finance Support Systems. Experience[Essential] Experience of a similar role incorporating sales support in a medium-sized business. Well-developed communication skills enabling the individual to work with Senior Managers, clients, suppliers, and staff of all levels and abilities. [Desirable] Good knowledge of Business Unit and wider CBRE. Aptitudes Excellent command of the English language demonstrated through good verbal and written communication. Must be detail conscious, accurate and methodical in approach. Strong organisational and communication skills Able to work systematically and use own initiative. Able to work on more than one task at any given time. Must demonstrate strong interpersonal skills and be able to work as part of a team as well as independently. Strong numeracy skills and excellent attention to detail. Character -Must demonstrate a strong sense of customer focus, and promote a sense of team spirit and good moral within the office. Confidential approach and discrete. Must be able to influence others, and engender confidence in senior managers through both face-to-face, telephone and written communication. Able to work as part of a multi-disciplinary team, providing support to other areas of the business on occasions, as required. Success Criteria- Completes work within required time frame and delivers against critical cut off dates. Timely and accurate preparation of correspondence, reports and other administrative documents. Work within a busy office environment, and support office teams in order to ensure the smooth running of day-to-day activities Circumstances- Must be flexible to work outside core office hours from time to time, and to travel on occasions to other work locations.
