Job Description

  • Excellent IT skills required with ability to prioritise work and fulfil admin function.

  • Ability to process payroll data, ensuring attention to detail and accuracy whilst processing data.

  • Liaises with Mitie IT to ensure IT equipment in the contract is fully operational.

  • Central point of information for office issues, meeting bookings, office equipment and stock.

  • To be an ambassador for Mitie, dealing with enquiries in relation to all services

  • Use a variety of software packages (including Excel, Access and Powerpoint) to manage data and produce documents and presentations

  • Use content management systems (CMS) to maintain and update websites and internal databases

  • Manage and maintain budgets and carry out invoicing as required by the Contract manager.

  • Manipulate statistical data as required to feed into various Management teams and departments

  • Arranges in-house and external events at various times of the year and according to the contract requirements.

  • Supports the Administration/Office Manager, Finance, Pay Roll & Training teams with transferring of data and duties.

  • Undertakes general administration and filing. Writes letters, takes notes, collates information & producing presentations.

  • Prepares, collates and completes data for the site to meet weekly and monthly reporting deadlines.

  • Creates and maintains administrative systems across the site.

  • Can handle large amounts of paperwork and data transfers

  • Is responsible for initiating solutions and interventions with relevant department managers and holding them accountable for their financial performance against budget.

  • Updates debt / aged work in progress spreadsheets for clear & detailed analysis

  • Responsible for the delivery of the contract P&L and all related financial reporting to the required daily/weekly/monthly timetable.

  • Has responsibility for maintaining the contract budget as agreed by the Contract Manager/Director.

  • Handles all petty cash, floats and expenses

  • Assists with financial month end reporting

  • Undertakes additional duties in line with capabilities as required to fulfil requirements needed by the contract

  • Updates payroll records by entering changes in exemptions and department/division transfers.

  • Prepares reports by compiling summaries of earnings, deductions, leave and other wage related data.

  • Resolves payroll discrepancies by collecting and analysing information.

  • Maintains employee confidence and protects payroll operations by keeping information confidential.

  • Cross-checks timesheet information with Biometric terminal data to ensure correct payment information is sent to central payroll.

  • Communicates effectively with all the teams to ensure there is a seamless way of working across the contract.

  • Responsible for purchases and stock control. Develops processes to ensure all service provisions are captured and billed correctly

  • Flexible and adaptable to work across multiple sites and on various projects.

  • Supports with minute taking at a variety of meetings.

  • Produces detailed reports as required

Candidate Description

  • NVQ Level 3 Administration or equivalent preferred

  • Has similar experience in an administration role.

  • Has a strong standard of both literacy and numeracy skills

  • They possess an intermediate knowledge level of all Microsoft office packages. Fully competent in the use of PCs and other types of technology

  • Has developed excellent written and verbal communication to support them in their role.

  • Fully capable of understanding and maintaining the confidentiality across the site and respecting the needs of all stakeholders.

  • Works well under pressure to meet the challenging deadlines

  • Has the ability to effectively plan and manage own workloads, however understands when to ask for support when needed.

  • A team player with strong interpersonal skills and the ability to interact at all levels.
