We are urgently looking for a PA/administrator to work on a short term booking in Sheffield for the public sector

Full time hours, Monday to Friday 35 hours a week

The role of PA & Admin Co-ordinator will be responsible for the provision of a high quality and dedicated administration service

A key requirement of the job is to help the Senior PA & Admin Manager organise workload within the Clinical Directorate Support Team and co-ordinate activities to ensure that an efficient service is provided. The post holder will be expected to monitor and assess workload amongst the team, including being able to identify and step-in to fill gaps, to ensure continuity of services. It is essential that the post holder is able to exercise initiative suitable to the role and is fully supportive to other colleagues in the administrative team.

The post holder will be responsible for daily workload management, supervision and appraisal of junior staff to support the overall function of the admin team.

Tasks will include:

  • Using the full Microsoft Office suite to full advantage, and particularly Word, Power Point and Excel packages.

  • Use of Insight patient information system to check details as required/requested.

  • Use the best techniques in IT and best practice to ensure high quality management information and administration systems are in place.

    Communication/Admin Support

  • Audio/copy typing - this will include reports and dealing with highly confidential, potentially sensitive information about staff or service users.

  • Prepare documents for external and internal distribution where appropriate.

  • Produce regular routine information and reports

  • Set up and maintain efficient filing systems, electronic and paper. Manage a bring-forward system for the Heads of Service & Clinical Directors to ensure prompt handling of correspondence and enquiries.

  • Dealing with enquiries to the team and liaising with service users, relatives and professionals from external agencies and the Trust, which includes maintaining a confidential and accurate message system.

  • Receive, screen and make telephone calls. The post holder will be expected to resolve queries wherever possible, taking messages or redirecting calls as appropriate and ensuring that timely action is taken.

  • Record and brief the Heads of Service & Clinical Directors of issues whilst away from the department.

  • Be responsible for the receipt and recording of incoming mail to sort and distribute as appropriate.
