Agency Team Administrator

Job Description

Fixed Term 12 months contract - Salary: £22,050

Main Purpose:

To actively respond to all Agency Invoice Queries, proactively liaising with agencies and Services to ensure that all invoice queries are processed within Timescales. Support Agency Bookings with Ad hoc Duties.

Core Duties

  • To be the first point of contact for all agencies and AP for any queries/issues with any invoices.
  • Liase with services to establish that all
  • Action all requests for agency bookings that come into the team as soon as possible
  • Send out all requests to Agencies straight away to enable as much time as possible for cover to be sourced
  • Document all shifts onto Webroster as soon as they are confirmed
  • Work proactively with approved Agencies to fill available shifts to try and ensure required shifts are covered
  • Answer and manage any incoming calls, ensuring all calls are dealt with appropriately and in a timely manner
  • System maintenance - ensure Webroster is kept up to date with clear documentation added where necessary
  • Upload any agency documents to the system such as TICK sheets and Profile sheets
  • Provide detailed hand overs of all shifts that require agency cover and have not yet been allocated
  • Regularly chase Agencies to gain updates on shift covers required
  • To raise issues regarding the fulfilment of shifts to senior team members as required
  • Run reports as and when requested by management

Skills & Abilities:

  • General IT skills including email and Microsoft office
  • Excellent organisation and planning skills
  • Excellent customer service, communication and interpersonal skills
  • Ability to manage conflicting priorities and work to tight deadlines
