An exciting opportunity has arisen for an Administration Support Officer to join a public sector organisation based in East London.
The role will be working within the Facilities Management Team and will be providing administration support function to the Assets & Capital Commissioning team. The successful applicant will be the first point of contact for facilities issues and building maintenance requests.
The successful applicant will have administrative experience in an office environment arranging meetings, dealing with a range of enquiries and following administrative processes. Experience of working with the public is beneficial.
The role will be based in the office full time.
Key duties will include:
Provide a professional front office and reception service for staff and visitors
Act as a central point of contact in receiving and handling help desk enquiries of a repair, maintenance and facilities nature
Administer the council's room booking system
Produce letters and reports
Take notes of meetings and undertake basic research and analysis
Filing, storage and retrieval of documents
Maintain and order stationery and place other orders, monitor progress and take receipt of deliveries as required
Carry out Help Desk functions, including receiving calls from building managers, collating required information, resolving where appropriate or allocating to both internal and external teams for resolution
Raise orders, pre-inspections and post-inspections with term contractors
Ensure all repairs are recorded in the relevant systems
Raise purchase orders for facilities and maintenance activities
Be responsible for the recording, preparation and issuing visitor identification cards/passes
